Payment, Refund & Cancellation Policy

We understand that plans can change, and we aim to offer a fair and transparent policy that respects both our guests and the sustainability of our retreats.

1. Deposits and Payment Plans

A deposit or first installment confirms your reservation and is considered a commitment to attend.
If you select a payment plan, you authorize Vere Vitae (via Stripe) to automatically process payments on the agreed schedule.
In case of a failed or missed payment, Stripe will automatically retry up to three (3) times. If payment remains unsuccessful, your booking may be paused or canceled, and any amount already paid may be forfeited to cover administrative or reserved-space costs.
Late balances not resolved within seven (7) days may incur a 5% late fee on the outstanding amount.

2. Cancellations and Refunds

Full Refunds:Guests who cancel by emailing info@verevitae.com at least 30 calendar days prior to the scheduled retreat start date will receive a full refund of any payments made (excluding non-refundable transaction fees, if applicable).Partial Refunds:Cancellations received less than 30 calendar days before the retreat start date will forfeit 30% of the total retreat cost as a non-refundable deposit. Any remaining balance already paid will be refunded.No-Show or Early Departure:No refunds are available in cases of no-show, late arrival, or early departure once the retreat has begun.

3. Method of Refund

Refunds are processed via the original payment method (credit card, bank transfer, etc.) within 14 business days of receiving a valid cancellation notice.

4. Substitutions

If you cannot attend, you may transfer your booking to another participant at no additional charge, provided you notify us by email at least 7 days prior to the retreat start date.

5. Cancellations by Vere Vitae

In the unlikely event that Vere Vitae must cancel a retreat due to force majeure, instructor unavailability, or minimum-attendance requirements:

You will receive the choice of a full refund or
A credit transfer toward a future retreat of equal value.

Vere Vitae is not liable for ancillary costs (such as airfare, visa fees, or travel insurance). We strongly recommend purchasing travel insurance.

6. Compliance

This policy aligns with Italian and EU consumer protection standards, as well as widely accepted U.S. best practices for wellness and educational retreats.

1. Services Provided

Vere Vitae offers wellness retreats, educational programs, and related content through its website, properties, and affiliated partners.

2. Eligibility

By using our services, you confirm that you are at least 18 years of age, or have parental/guardian consent.

3. Booking & Payment

Retreat bookings are confirmed upon receipt of deposit or full payment.
All payments are processed securely via approved third-party providers.
Guests agree to our Refund & Cancellation Policy, available on the website.

4. Property Access & Guest Responsibility

By entering or staying at the Vere Vitae property, you acknowledge and accept the following:

The property includes natural terrain (steep areas, uneven ground, natural pools, etc.) and native wildlife (including dogs and snakes). Caution is required at all times.
Activities such as walking, hiking, swimming, cycling, or other recreation are undertaken at your own risk.
By accessing the property, you voluntarily assume full responsibility for your personal safety and belongings.
The property owner(s), caretakers, and affiliates are not liable for injury, damage, or loss that may occur, to the fullest extent permitted under applicable Italian, EU, U.S., and international law.

5. Waiver of Liability

Your presence on the property constitutes a release of liability and waiver of all claims against Vere Vitae SRL, its owners, and affiliates, except in cases of gross negligence or willful misconduct.

6. Intellectual Property

All content on the Vere Vitae website, including text, images, logos, and materials, is the property of Vere Vitae SRL and protected by copyright law. Use without permission is prohibited.

7. Privacy & Data Protection

We are committed to protecting your privacy in compliance with the EU General Data Protection Regulation (GDPR) and U.S. privacy standards. Please see our Privacy Policy for details on how personal data is collected, used, and protected.

8. Donations

Donations to Vere Vitae currently do not qualify for tax exemptions. As a gesture of gratitude, donors may receive complimentary retreat stays, subject to availability.

9. Travel & Insurance

Guests are responsible for arranging their own travel to and from Vere Vitae. We strongly recommend purchasing travel insurance to cover cancellations, medical emergencies, or unforeseen events.

10. Governing Law & Jurisdiction

These Terms are governed by the laws of Italy and the European Union, with consideration for international consumer protections. Disputes may be resolved in the courts of Cosenza, Italy, unless otherwise required by applicable law.

11. Amendments

We may update these Terms of Service periodically. Continued use of the website or services after changes constitutes acceptance of the updated terms.
